About OneDrive

Microsoft OneDrive is your personal cloud home in Microsoft 365 — a secure, always-available file store that syncs across every device, handles versioning automatically and keeps documents accessible offline. It's the backbone for personal work files, attachments in Outlook, and any file shared from a 1:1 Teams chat.

It's best used for any work file that doesn't yet belong to a team — drafts, templates, personal reference documents, attachments from email — with selective sync, sharing links and restore points built in. Every employee benefits, but especially mobile workers, knowledge workers and anyone who previously relied on local drives or USB sticks. Finding your feet

What OneDrive for Business is and how it differs from SharePoint and Teams Files, so everyone knows where each file belongs. We tour the interface — My Files, Shared, Recent and Favourites — and cover the everyday essentials of uploading, creating, moving, copying and deleting files and folders.

Sync on every device

Setting up the sync client on PC or Mac and using Files On-Demand to choose which files stay cloud-only and which are always available offline. We switch on PC Folder Backup for Desktop, Documents and Pictures, then bring SharePoint libraries into the mix with desktop sync and library shortcuts.

Sharing done safely

How to share files and folders with the right link type — anyone, internal or specific people — and lock links down with permissions, expiry dates and passwords. We practise managing and revoking access after the fact, and replace email attachments with OneDrive links in Outlook.
