About OneNote

Microsoft OneNote is M365's digital notebook — a flexible, free-form space for structured notes, meeting records, handbooks and team knowledge. Notebooks can be personal, shared with a team or embedded inside SharePoint and Teams, with pages organised into sections, tagged, searched and co-authored in real time.

It's best used for meeting notes, project documentation, SOPs, onboarding handbooks, personal journals and any living document that needs to be edited regularly. L&D, project teams, executive assistants, consultants and anyone running recurring meetings benefit most. OneNote solves the problem of knowledge being trapped in one person's inbox or local files — replacing it with a shared, searchable, permissioned knowledge base that grows with the team instead of walking out when someone leaves.

Training Session

A focused session designed to build real-world skills fast.

1

Getting oriented

What OneNote is and where it fits in Microsoft 365, followed by a tour of the interface — notebooks, sections, pages and subpages. We create and manage notebooks stored in OneDrive and SharePoint so your notes live in the right place from day one.

2

Structure that scales

Building an organisation system that survives real use: sections, section groups and colour coding, with pages and subpages managed cleanly beneath them. We link between pages to create a team wiki structure, and use and create page templates so recurring notes start half-written.

3

Capture anything

Free-form note-taking with typing, note containers and outlines, formatted with styles, fonts, highlights and tables. We pull in the outside world too — images, screen clippings and the OneNote Web Clipper, attached and embedded files and printouts, and even live Excel spreadsheets embedded in a page.

4

Find it, track it

Making notes actionable with built-in and custom tags, To Do checklists and the Tag Summary that gathers every open action in one place. We then search across notebooks — text, images and tagged items — so nothing you have captured is ever lost again.

5

Working together safely

Sharing notebooks and collaborating in real time, inserting Outlook meeting details straight into a page, and adding a notebook as a channel tab in Teams. We close with the safety net — page version history and the Notebook Recycle Bin — plus exporting pages and sections as PDF or Word.
